Working Hours:
- Monday to Friday:
- 9am – 6pm SAST (during BST)
- 10am – 7pm SAST (during GMT)
- 1 in 3 Saturdays: 9:30am – 5pm SAST (additional pay)
Requirements:
- UK Lettings experience is essential
- Must work office-based in Cape Town
- Ability to work UK-based hours
- Excellent communication skills
- Strong attention to detail

- Proven time management and prioritisation skills
- Positive attitude and calm under pressure
- Ability to work with all levels of staff and provide upward feedback
Key Responsibilities:
Lettings Administration:
- Provide full administrative support to the UK-based Lettings Director
- Ensure quality control of all lettings administrative processes
- Prepare accurate correspondence for valuations, offers, instructions, and move-ins
- Create and manage marketing materials for properties
- Maintain an up-to-date company database
- Liaise with contractors, suppliers, and process invoices
- Provide cover for Property Management duties
Tenancy Management:
- Manage renewal processes for a property portfolio, negotiating with landlords and tenants
- Ensure compliance documentation remains valid for renewals
- Keep the Lettings Director updated on renewal progress
- Process tenant notices and initiate end-of-tenancy procedures
- Serve Section 21 notices and other legal documentation
- Oversee checkout arrangements and deposit releases for non-managed properties
- Monthly reporting on renewals and tenancy endings
- Handle landlord, tenant, and team queries related to tenancies
Property Management:
- Manage a small portfolio of properties, liaising with landlords and tenants
- Coordinate with the Lettings team for seamless tenancy transitions
- Arrange regular property inspections
- Instruct and oversee maintenance work, ensuring timely invoice payments
- Set up, close, and transfer utility accounts
- Handle end-of-tenancy claims and first-instance complaints
- Set up new managed properties and maintain accurate records
- Process insurance claims
