Purpose of the Job
The Fleet Controller is responsible for ensuring that the company fleet is maintained in accordance with internal policies and Road Traffic Legislation. The role ensures that all vehicles are roadworthy, serviceable, compliant, and readily available to meet operational demands.
Key Responsibilities
Operational Management

Maintain accurate electronic fleet databases including kilometres, registrations, inspections, and maintenance records

Schedule and manage vehicle services with approved workshops
-
Ensure fleet availability through effective scheduling, forecasting, and analysis of usage trends
-
Utilise fleet data and user feedback to forecast operational requirements
-
Complete all required documentation relating to accidents and submit to the internal insurance department
-
Oversee routine and ad hoc maintenance, including tagging of new vehicles and renewal of existing licences
-
Ensure full compliance with Road Traffic Acts and related regulations
-
Monitor and manage fleet data systems to align vehicles with operational schedules and requests
-
Monitor fuel consumption and reconcile fuel card expenses for vehicles and drivers
-
Participate in workshop activities and inspections as required
-
Develop and implement fleet operational standards aligned to industry best practices
-
Manage all repairs and maintenance costs, verify job cards, ensure job closures, and confirm pricing accuracy
-
Implement corrective actions and capacity-building initiatives to meet fleet performance objectives
-
Conduct ACC meetings with drivers to investigate accidents
-
Manage recovery of abuse-related costs
-
Conduct vehicle dispatch, return, and inspection processes
-
Maintain vehicle inspection books in line with SOPs
Maintenance Management

Ensure all vehicles are serviced in line with prescribed service intervals
-
Minimise downtime by negotiating strict turnaround times and priority repair schedules with workshops and panel beaters
-
Maximise fleet availability to support transport operations
Reports and Record Keeping

Update weekly kilometre readings
-
Maintain vehicle and trailer asset registers
-
Compile fuel consumption, utilisation, and availability reports
-
Prepare driver training and assessment reports
-
Conduct and record fleet inspections
-
Compile maintenance and weekly cost reports
-
Maintain records for driver PDPs, licences, COFs, and assessments
-
Manage vehicle key registers
-
Conduct monthly and weekly fleet inspections
-
Verify completion of daily driver debriefings
Driver Management
-
Monitor and manage driver behaviour
-
Report and address poor driving behaviour impacting fuel usage and maintenance costs
-
Measure driver performance and update scorecards covering speeding, harsh braking, and erratic driving
Additional Responsibilities
-
Carry out reasonable instructions as directed by senior management
-
Provide operational support across departments and shifts when required
-
Assist with Truck Rental and Express operations when needed
-
Stand in for site supervisors during periods of absence or leave
-
Perform additional duties aligned with operational requirements and organisational objectives
Minimum Requirements
-
Grade 12 (Matric)
-
Code 10 driver’s licence
-
2–3 years’ experience in a truck rental and administrative environment
