VACANCY: Fleet Administrator – Specialized Services (Fidelity Services Group)
Purpose of the Role:
Ensure efficient fleet administration by supporting the specialized services department with comprehensive administrative tasks, cost control, and driver management to optimize fleet performance.
Main Responsibilities:
Budgeting & Cost Control
- Track fleet expenses (fuel, maintenance, repairs) to enhance efficiency and reduce costs.
- Analyze spending reports and recommend cost-saving measures.
Driver & Vehicle Management
- Assign vehicles to drivers and monitor performance, behavior, and safety compliance.
- Ensure driver licensing and training adherence.
- Oversee vehicle deployment across departments or regions.
- Minimize downtime through proactive maintenance scheduling.
Repairs & Maintenance Administration
- Receive and process maintenance, repair, and tyre quotes via email and GreenFleet.
- Issue pre-reference numbers for vehicles under maintenance plans.
- Verify vehicle history and flag discrepancies (e.g., duplicate repairs, incorrect labour rates).
- Ensure all documentation is complete before submitting quotes for Fleet Manager approval.
- Create and dispatch purchase orders.
- Verify repair costs and follow up on invoices and open POs.
- Resolve supplier and internal queries promptly.
Reporting & Compliance
- Maintain detailed fleet records and filing systems.
- Load daily supplier quotes onto tracking reports.
- Consolidate weekly Open PO and Engen reports.
- Issue licence discs and manage fuel card orders.
- Record asset verification photos for private staff.
- Oversee traffic fines management.
General Administration
- Process printing, scanning, and ad-hoc tasks as assigned.
- Generate POs, request invoices, and liaise with suppliers.
- Complete Capex 2 disposals for procurement.
Accident Administration
- Monitor driver behavior and enforce safety protocols.
- Capture accidents on Master Report and register claims on GreenFleet.
- Follow up on outstanding documents (e.g., quotes, MVA packs).
- Prepare insurance claim submissions and coordinate with legal teams.
- Develop risk mitigation strategies.
Education & Qualifications:
- Grade 12 or equivalent diploma.
- Fleet/transport diploma (advantageous).
Experience & Skills:
- 5+ years in fleet/workshop administration.
- Proficiency in logistics, cost control, and vehicle maintenance.
- Strong knowledge of car parts, servicing, labour rates, and licensing.
- Excellent problem-solving, time management, and relationship-building skills.
