Purpose of Role
The Financial Planner Partner Assistant supports the Financial Planning Partner(s) in delivering exceptional client service. As part of a regional team, the Assistant collaborates with colleagues to ensure efficient administrative, operational, and client service support. The role serves as the key liaison between the practice and the regional office/head office.
Key Responsibilities
Client Services
- Implement the defined client service experience in alignment with operational standards.
- Oversee administrative processes, including transactions, queries, and reporting.
- Act as the primary liaison between the Financial Planner Partner and product providers.
- Handle client inquiries and ensure timely resolution of complaints.
- Uphold the principles of Treating Customers Fairly (TCF).
Operations
- Gather client information and prepare documentation for Financial Planner Partner engagements.
- Manage FICA and AML compliance during client onboarding.
- Verify and submit new business and transfer documentation to product providers.
- Monitor intermediary appointments and ensure accurate commission tracking.
- Facilitate medical examinations for clients and follow up on pending requirements.
- Provide ongoing administrative and client maintenance support.
- Resolve commission discrepancies with product providers.
Portfolio Management Support
- Assist CRMs in pre-populating mandates and applications.
- Manage tasks via XPlan to ensure seamless coordination with Portfolio Managers.
IT & Systems
- Maintain accurate client records on XPlan and other systems (e.g., Astute, NAV).
- Ensure data integration between XPlan and financial planning tools.
- Organize client reviews, prepare reports, and manage communication workflows.
- Troubleshoot IT issues in collaboration with the support team.
Performance & Compliance
- Monitor KPIs on NAV and address performance gaps with guidance from management.
- Support compliance with business rules and regulatory requirements.
Marketing & Events
- Coordinate logistics for client events (venues, RSVPs, materials).
- Represent the company at client engagements.
Office Management
- Assist with office operations, including reception, supplies, and facilities.
Knowledge & Competencies
- Industry Knowledge: Financial services, FAIS, and FICA regulations.
- Technical Skills: Microsoft Office, XPlan, NAV.
- Key Traits: Strong communication, detail-oriented, proactive, collaborative.
Qualifications & Experience
- 2-3 years in financial services.
- Relevant tertiary education or certifications.
