Job Description
• Assist staff with the permit application process and coordinate the return of permit cards and supporting documents to the ACSA Permit Office.
• Maintain accurate, up-to-date records of all ACSA permits and staff parking allocations across airport teams.
• Support operational teams with permit-related queries and ensure compliance with permit procedures.
• Source quotations and raise purchase requisitions on Sage for office and operational supplies, including stationery, refreshments, cleaning products, and ice.
• Receipt goods on Sage X3 upon delivery of orders.
• Verify supplier invoices and submit them to Accounts for processing.
• Reconcile meal voucher invoices, obtain required approvals, and upload supporting documents to the company drive.
• Provide daily administrative support to the Airport Manager and operational teams.
• Support Ticket Sales during peak periods or when operationally required.
• Compile and maintain staff rosters to ensure sufficient operational coverage.
• Upload staff schedules onto the Kronos system.
• Assist with station audit preparation and compliance documentation.
• Coordinate dispatch and co-mailing of packages to operational stations.
• Compile KPI statistics and assist with operational performance reporting.
• Provide first-line IT support to operational teams and escalate technical issues to IT when required.
• Liaise with the ACSA Surveillance Department to obtain and review incident and accident-related footage.
• Engage with internal and external stakeholders to support effective communication and strong working relationships.
Job Requirements
• Grade 12 or equivalent.
• Relevant Diploma or Degree will be advantageous.
• 1–3 years’ experience in office administration.
• Airline experience will be beneficial.
• Working knowledge of airline systems including Radixx Res, DCS, Kronos, Flowcentric, and Sage will be advantageous.
• Proficient in Microsoft Office.
• Strong administrative and organisational skills.
• Effective time management and planning ability.
• Excellent verbal and written communication skills.
• Strong interpersonal skills.
• Deadline-driven and able to manage multiple priorities.
