Job Summary
As an Administrator: Trust Services, you will assist Trust Officers and Trust Managers in the general administration of trusts, ensuring accurate and timely processing of financial transactions in line with predefined objectives and standard operating procedures (SOPs).
Job Description
General Administration of Trusts
- Maintain up-to-date knowledge of trust administration by reviewing legal department communications and attending relevant training sessions.
- Process newly opened trust files for Testamentary or Inter Vivos Trusts.
- Verify and approve trust information captured in accordance with the Will or Trust Deed.
- Prepare and submit documentation to SARS to register trusts as taxpayers.
- Draft and send client welcome letters, including needs analysis forms, as per Trust Manual guidelines.
- Arrange surety with the Master of the High Court for third-party inter vivos trusts, completing required documentation and processing premium payments.
- Prepare and submit Acceptance of Trusteeship documents, ensuring compliance with Master of the High Court requirements.
Legal and Financial Operations
- Monitor and follow up on the issuance of Letters of Authority from the Master of the High Court.
- Organize insurance for fixed properties based on replacement value and ensure timely premium payments.
- Manage municipal billing for trust properties, updating addresses and confirming changes with municipalities.
- Oversee the transfer of trust assets (e.g., property, vehicles, policies) and arrange appropriate insurance coverage.
- Process monthly debit orders for client allowances, submitting them for Trust Manager approval.
- Evaluate and recommend client requests (e.g., allowances, school fees) based on Trust Manual guidelines.
- Facilitate ad-hoc client payments, considering trust capital and client circumstances.
Communication and Client Support
- Handle client correspondence via letter, SMS, or email.
- Manage incoming and outgoing communications from clients, brokers, insurers, and other stakeholders.
- Ensure liquidity by coordinating fund withdrawals and liaising with investment managers.
- Calculate and process Absa Trust fees (acceptance, distribution, management, income tax).
- Maintain organized filing systems for correspondence, annual statements, and legal documents.
Education
- Further Education and Training Certificate (FETC): Office Administration (Required)
