Workshop Manager – value logistics

Purpose of the Role

The Workshop Manager is responsible for maximising service delivery, sales, and profitability by ensuring optimal productivity, efficiency, and customer satisfaction across all workshop operations.

Key Responsibilities

Staff Management

  • Oversee staff time, attendance, productivity, and efficiency.
  • Supervise and coach staff to maintain a customer-focused environment.
  • Ensure compliance with dress code and PPE requirements.
  • Identify training needs and staff development opportunities.
  • Conduct performance reviews and appraisals as required.
  • Hold regular staff meetings and feedback sessions.

Workshop Operations, Capacity Planning, and Work in Progress (WIP)

  • Plan daily WIP and monitor workshop productivity and efficiency.
  • Coordinate with Service Advisors and Parts department to ensure parts availability.
  • Ensure all vehicles are serviced according to OE schedules and requirements.
  • Ensure smooth workshop operations and optimal utilisation of resources.

Customer Service Levels

  • Keep internal and external customers informed of vehicle progress.
  • Resolve customer complaints promptly.

Workshop Administration

  • Ensure accurate Embrace data input (hour readings, job dates, fault codes, job types).
  • Adhere to all administration SOPs and ensure accurate costing and closure of job cards.
  • Attach all required documents to job cards, both manually and electronically.
  • Submit job cards to the Isando filing room according to the monthly schedule.
  • Request, receive, and process quotations from preferred suppliers for outsourced and outwork jobs on time.
  • Approve job cards in line with requirements and ensure recovery billing is invoiced.

Reporting

  • Pull daily open job card reports and investigate discrepancies.
  • Monitor WIP and open purchase orders to ensure accuracy.
  • Submit required management reports on schedule.

Asset Management

  • Manage and maintain company assets.
  • Report losses or damages and ensure proper disposal in line with SOPs.

Recoveries and Warranty Claims

  • Ensure accurate recoveries and warranty processes are followed.

Financials/Budget

  • Manage workshops cost-effectively in line with budgets.
  • Report on profit and loss as required.

Quality Standards

  • Ensure workshops have correct tools and equipment.
  • Conduct spot checks to maintain service standards.

Apprentice Programme

  • Manage the apprentice programme for all workshops nationally.

General

  • Maintain professional conduct and adhere to company dress code.
  • Assist with operational functions as required.
  • Maintain housekeeping standards daily.
  • Ensure compliance with Health and Safety standards.

Minimum Requirements

  • Grade 12 (Matric)
  • 3–5 years of Workshop or Field Service Management experience
  • Diesel mechanic qualification advantageous
