Service Advisor – Value Logistics
Purpose of the Role
The Service Advisor is responsible for the effective administration and coordination of workshop job cards, outwork processes, and customer service activities. This role ensures accurate job card management, efficient handling of outwork quotations and purchase orders on Embrace, and professional communication with customers. The Service Advisor supports operational efficiency by maintaining minimal work-in-progress levels, producing accurate reports, and upholding high standards of administration, housekeeping, health and safety, and customer service.
Key Responsibilities
Job Card Management

Open, update, and close job cards accurately and timeously

Capture labour entries correctly and ensure valid start and end dates

Apply correct fault codes in line with prescribed guidelines

Monitor and update job card status and location regularly
-
Process all outwork requirements against relevant job cards

Ensure accurate costing and proper closure of all job cards
Outwork – Quotes and Orders
-
Request and obtain supplier quotations as required
-
Create and manage purchase orders on Embrace
-
Ensure all quotes and requisitions are approved and signed off by management
-
Upload approved quotations to Embrace and submit orders to suppliers upon approval
-
Submit signed invoices and delivery notes with purchase order packs for GRV processing
Customer Service

Provide clear, accurate, and timely service updates to customers

Handle customer queries in a professional, courteous, and customer-focused manner
Work in Progress (WIP) Control

Maintain minimal open job cards at all times

Resolve job card issues promptly to prevent delays

Generate, review, and manage daily WIP reports
-
Supply WIP reports to management as requested
Reporting and Administration

Compile and submit daily and monthly job card and Atajo reports
-
Maintain and update the purchase order register
-
Perform weekly filing and document control
-
Monitor and record time and attendance

Assist with stock takes when required

Ensure all documentation is accurate, complete, and up to date
Housekeeping, Health and Safety

Maintain a clean, organised, and professional work environment

Comply fully with all health and safety regulations and company procedures
Minimum Requirements
-
Grade 12 (Matric)
-
Minimum of 1 year’s experience in a Service Advisor or similar role
-
Experience in the Retail Motor industry will be advantageous
