Purpose of the Job
The Workshop Manager is responsible for overseeing all workshop activities to ensure maximum productivity, efficiency, and profitability while delivering high-quality service and customer satisfaction. This role manages staff, workshop operations, administration, financials, and compliance with company standards.
Key Responsibilities
Staff Management
- Manage staff attendance, productivity, and efficiency
- Supervise, coach, and develop a customer-focused workshop team
- Ensure adherence to dress code and PPE requirements
- Identify training needs and conduct performance appraisals
- Hold regular staff meetings and provide feedback
Workshop Operations and Planning
- Conduct daily Work in Progress (WIP) planning
- Monitor and optimise workshop productivity and efficiency
- Coordinate with Service Advisors and Parts department to ensure parts availability
- Ensure all vehicles are serviced according to OE schedules and requirements
- Manage workshop resources for smooth and effective operations
Customer Service
- Keep internal and external customers informed of vehicle progress
- Resolve customer complaints promptly
Workshop Administration
- Ensure accurate Embrace data entry, including job start/end dates, hour readings, fault codes, and job types
- Adhere to all administrative SOPs
- Accurately cost and close job cards
- Attach required documents to job cards, both manually and electronically
- Manage job card filing according to monthly handover schedules
- Request and process quotations from suppliers for outsourced work
- Sign off job cards and ensure recovery billing is invoiced to external customers
Reporting
- Pull and investigate daily WIP and purchase order reports
- Ensure only active WIP items remain open
- Submit all required reports to management on time
Asset Management
- Maintain and manage all workshop assets
- Report losses or damage and follow SOPs for asset disposal
Recoveries and Warranty Claims
- Ensure correct processes for recoveries and warranty claims are followed
Financial Management
- Manage workshop operations in line with budgets
- Report on profit and loss statements as required
Quality Standards
- Ensure the workshop is equipped with the correct tools and equipment
- Conduct frequent spot checks to maintain service standards
Apprentice Programme
- Oversee and manage the apprentice programme across all workshops nationally
General Duties
- Maintain professional conduct at all times
- Assist with operational functions as required
- Adhere to company dress code and housekeeping standards
- Ensure compliance with Health and Safety regulations
Minimum Requirements
- Grade 12 (Matric)
- 3–5 years’ experience in Workshop or Field Service Management
- Diesel mechanic qualification advantageous
