Purpose of the Job
The Dispatch Supervisor oversees and coordinates all dispatch operations related to stock movement within the warehouse or distribution facility. This role plans and executes outbound logistics to ensure goods are dispatched accurately and on time, in line with company procedures and safety regulations. The Dispatch Supervisor leads the dispatch team, monitors KPIs, and drives continuous improvement to enhance efficiency while protecting the quality, safety, and security of goods and assets.
Key Responsibilities
Process
- Ensure Standard Operating Procedures are clearly understood, regularly trained, and consistently applied within dispatch
- Utilise business systems effectively to manage and monitor dispatch activities
- Plan daily outbound dispatch schedules to meet all delivery deadlines
- Allocate staff resources in line with forecast volumes to maximise efficiency
- Coordinate the picking process to ensure dispatch cut-off times are met
- Confirm availability of materials and equipment required for dispatch operations
- Maintain stock condition and packaging standards in line with product handling requirements
- Investigate and resolve discrepancies relating to documentation, vehicles, seals, or dispatched goods
- Liaise with internal stakeholders to resolve dispatch issues within 24 hours
- Coordinate vehicle availability to ensure on-time departures
- Control stock handovers to other departments in line with system and process requirements
- Ensure correct loading procedures and securement of goods prior to vehicle departure
- Maintain and update the Work in Progress report daily
- Ensure accurate, up-to-date filing of dispatch documentation
- Review dispatch reports, act on variances, and communicate outcomes to management
- Analyse dispatch performance data and implement process improvements
Staff Management
- Lead, coach, and supervise dispatch staff performance
- Plan resources effectively to meet daily operational requirements
- Monitor and control overtime, authorising only when operationally necessary
- Ensure all dispatch staff receive appropriate training and competency updates
Quality, Health & Safety, and KPI Management
- Communicate, track, manage, and report dispatch KPIs monthly
- Drive continuous improvement initiatives within dispatch operations
- Proactively identify and address operational risks before escalation
- Ensure compliance with Quality Management System procedures
- Raise and close NCRs, NCPs, and Improvement Opportunities within agreed timelines
- Monitor and maintain QMS objectives and performance targets
- Ensure compliance with Occupational Health and Safety requirements and scheduled safety checks
- Maintain high standards of housekeeping and workplace organisation
MHE and Asset Management
- Ensure the security of the facility, stock, and assets in line with Loss Control policies
- Track and manage assets to ensure optimal utilisation and condition
- Ensure Material Handling Equipment is used safely, efficiently, and responsibly
Minimum Requirements
- Grade 12 (Matric)
- Diploma or Degree in Logistics, Warehouse Management, or Business Management is advantageous
- At least 5 years’ experience in logistics or warehousing, with a minimum of 2 years in a supervisory or management role
Skills Requirements
- Excellent verbal and written communication skills
