Position Summary
Fidelity Vacancies is seeking a professional and organized Receptionist to manage front desk operations, support administrative functions, and assist with client interactions. The role ensures smooth office operations while maintaining a welcoming environment for clients and staff.

Key Responsibilities

Front Desk & Client Interaction

  • Welcome and assist walk-in clients, directing them to the appropriate departments while maintaining a professional and courteous demeanor
  • Manage incoming phone calls via the switchboard and transfer to the relevant staff members
  • Take accurate messages when staff are unavailable and ensure timely delivery
  • Maintain professional inter-company communication at all times

Administrative Support

  • Handle general correspondence and support internal office relations
  • Manage stationery and office grocery requisitions (e.g., coffee, tea, sugar, milk)
  • Assist with ad hoc purchases by obtaining supplier quotations, creating requisitions, securing approvals, placing orders, and verifying goods received
  • Match supplier invoices with purchase orders and hand over to the branch supervisor
  • Support new vendor application processes

Data Capturing & Finance Support

  • Assist departments with accurate and timely data capturing of job cards and invoices
  • Perform daily banking duties and post banking details to the designated system

Sales Support

  • Receive and log sales leads from calls and walk-in clients
  • Forward leads to Sales Admin or Sales Consultants for follow-up

General Duties

  • Carry out additional ad hoc responsibilities as required
  • Maintain a tidy and organized reception area

Required Skills & Competencies

  • Proficiency in Microsoft Excel and Word
  • Experience with LSN software
  • Strong communication and interpersonal skills
  • Ability to multitask and manage time effectively
  • Attention to detail and excellent organizational skills
