Purpose of the Job

The Vehicle Monitoring Coordinator plays a critical role in ensuring daily operational efficiency by monitoring vehicle activity, managing incidents and faults, and maintaining accurate records and communication. This role requires strict adherence to procedures, professional conduct, and strong commitment to health, safety, and housekeeping standards. The position supports operations by ensuring all vehicle-related issues are identified, escalated, and resolved promptly to minimise downtime and maintain service continuity.

Key Responsibilities

Vehicle Monitoring and Incident Management

  • Monitor vehicle movements and performance in line with company procedures
  • Identify, record, and report deviations, exceptions, and non-compliance
  • Acknowledge and respond to alarms within required timeframes
  • Manage incidents and accidents professionally in accordance with company protocols

Communication and Reporting

  • Obtain daily route sheets from relevant business units
  • Capture and maintain accurate operational and vehicle performance records
  • Compile and distribute operational reports to relevant stakeholders within required timelines
  • Log and report all incidents, occurrences, and unusual events accurately

Fault Management and Vehicle Repairs

  • Update and track vehicle faults daily on the system or approved logs
  • Communicate faults to the relevant departments and responsible personnel
  • Follow up on reported faults to ensure timely and effective repairs

Operational Support

  • Provide support to operational tasks and functions as required
  • Maintain professional conduct when engaging with colleagues, clients, and external stakeholders
  • Adhere to company dress code and grooming standards in line with Standard Operating Procedures

Housekeeping, Health and Safety

  • Maintain a clean, organised, and professional work environment daily
  • Comply with all Health and Safety regulations and promote safe working practices

Minimum Requirements

  • Grade 12 (Matric)
  • Proficiency in Microsoft Word, Excel, and Outlook
