Purpose of the Job
The Parts Administrator is responsible for managing inventory, issuing parts accurately and on time, tracking stock levels, and maintaining detailed records. The role ensures the workshop has the necessary parts for scheduled maintenance, manages supplier interactions, conducts stock counts, and identifies slow-moving or obsolete stock while adhering to health and safety standards.
Key Responsibilities
Operational Duties
- Pick and issue parts in line with job card requirements
- Update backorder reports and communicate them to the Parts Manager
- Record and report daily stock-outs and ensure timely replenishment
- Ensure pre-booked parts are purchased and ready before scheduled maintenance
- Raise purchase orders for non-stock items or buy-outs as per job card indications
- Follow up with suppliers on deliveries and collections
- Ensure stock is issued promptly upon receipt to support workshop operations
- Conduct cycle counts and full stock takes accurately
- Track parts movement and monitor all stock transfers
- Identify slow-moving or obsolete items and inform the Parts Manager for action
- Manage credit returns and ensure proper processing
- Perform additional tasks as required within the Parts Department
Housekeeping
- Maintain a clean and organized work area
- Follow Value Logistics housekeeping procedures to ensure a tidy environment
Health and Safety
- Adhere to all Health and Safety procedures and requirements at all times
General Duties
- Work independently, using initiative to complete tasks efficiently
- Demonstrate strong interpersonal skills for effective collaboration with colleagues and customers
Minimum Requirements
- Grade 12 (Matric)
- 2–5 years of parts or inventory management experience
- Computer literacy
- Strong written and verbal communication skills
- Relevant work experience in parts or logistics
