About the Role
The Team Assistant provides comprehensive secretarial and administrative support to the Technical & Engineering senior management team, ensuring smooth departmental operations and enhancing the efficiency of functional areas. This role plays a key part in maintaining organized workflows and delivering high-level support services.
Key Responsibilities
- Manage daily operational and administrative tasks to support the team.
- Arrange meetings, prepare agendas, and take accurate minutes.
- Manage managers’ diaries to facilitate workflow and scheduling.
- Assist in compiling and preparing submissions and reports.
- Issue approved discussion and management reports promptly and update reporting modules accordingly.
- Ensure all distributed documentation is professional, error-free, and compliant with format and branding standards.
- Maintain up-to-date distribution lists and assist colleagues with document distribution.
- Provide departmental support in word processing, PowerPoint, and spreadsheet applications.
- Produce correspondence, maintain presentations, records, spreadsheets, and databases.
- Manage departmental travel arrangements, both local and international.
- Coordinate internal and external events, such as conferences and meetings.
- Log and follow up on IT and operational requests on behalf of the team.
- Answer calls, take messages, and respond to inquiries within the scope of responsibility.
- Develop and maintain an efficient documentation and filing system for accurate record storage and distribution.
- Complete forms and administrative processes in accordance with company procedures.
- Monitor office supplies and manage procurement in line with budgetary constraints.
- Oversee schedules for purchase, receipt, dispatch, and delivery of goods and services.
- Process Purchase Requisitions (PRs), Purchase Orders (POs), Service Entries (SEs), and invoices in SAP and follow up on payments.
Qualifications
- National Senior Certificate (Grade 12) with 3+ years relevant experience (6 years preferred),
or - B.Tech or 3–4 year degree with at least 1 year relevant experience.
