Purpose of the Job
The Site Supervisor is responsible for coordinating and overseeing daily operations to ensure efficient service delivery. This role manages driver attendance and documentation, supervises route planning and dispatch, ensures fleet readiness and safety, and enforces compliance with operational protocols.
Key Responsibilities
Operational Management
- Supervise and monitor driver attendance, ensuring optimal staffing levels on site.
- Coordinate all driver-related requirements in collaboration with the Labour Broker and Regional Manager.
- Ensure accurate capture of drivers’ hours for weekly wage reporting.
- Manage fuel-related processes, including refueling, tracking consumption, card usage, and reconciliation.
- Maintain fleet condition in line with the SEC Manual standards.
- Oversee daily route planning, vehicle loading/offloading, customer documentation handover, and dispatch.
- Ensure compliance with accident claims, product claims, and vehicle breakdown procedures.
- Communicate operational updates regularly with the Account Manager.
- Debrief trip sheets and cross-check with vehicle tracking reports.
- Supervise pre- and post-trip inspections, logbooks, workshop bookings, and COF checks.
- Handle ad hoc vehicle requirements as needed.
- Verify that all driver documentation is valid and up to date, including PDPs, licenses, medical certificates, and other certifications.
- Monitor and manage issuance of PPE and uniforms.
- Ensure all vehicles have functional tracking systems and arrange repairs when necessary.
- Maintain high housekeeping standards for a safe and clean working environment.
- Conduct monthly panic button tests and tyre surveys for vehicles.
- Confirm deliveries comply with planning requirements and that loads are secure.
- Ensure vehicle keys are safely stored at the end of each day.
Administrative Duties
- Compile and submit operational reports on time, including Vehicle Utilisation, Absenteeism, Vehicles in Workshop, Fleet Checklist, Weekly Site Report, Fuel Consumption, Vehicle Tracking, Daily Statistics, Fleet Control, and Management Reports.
- Oversee accurate completion, handover, and sign-off of all customer documentation.
Customer Service & Relationship Management
- Build and maintain strong customer relationships by meeting agreed service levels.
- Monitor customer KPIs and service agreements to ensure targets are met.
- Prepare and present customer KPIs, operational reports, feedback, and highlight constraints proactively.
Minimum Requirements
- Grade 12 (Matric)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
