Purpose of the Job
The Service Advisor is responsible for the effective administration and coordination of workshop job cards, outwork processes, and customer communication. This role ensures accurate job card management, efficient handling of outwork quotations and orders, timely customer feedback, and strong control of work-in-progress, while maintaining high standards of service delivery, housekeeping, and health and safety.

Key Responsibilities

Job Card Administration

  • Open, update, and close job cards accurately and timeously

  • Capture labour entries promptly and ensure correct start and end dates

  • Apply correct fault codes in line with prescribed guidelines

  • Monitor and update job card status and location regularly

  • Process outwork orders linked to job cards as required

  • Ensure job cards are costed correctly and closed in accordance with procedures

Outwork Quotes and Orders

  • Source quotations from approved suppliers when required

  • Create and manage orders on Embrace

  • Ensure all requisitions and quotations are authorised by the Manager

  • Upload approved and signed quotations on Embrace prior to supplier submission

  • Convert approved requisitions into orders and forward to suppliers

  • Submit signed invoices and delivery notes with purchase order packs for GRV processing

Customer Service

  • Provide accurate and timely service updates, quotations, and repair feedback to customers

  • Deliver professional, courteous, and customer-focused service at all times

Work in Progress (WIP) Control

  • Maintain minimal open job cards and resolve issues without delay

  • Generate, review, and manage the WIP report daily

  • Provide WIP reports as required by management

Reporting and General Administration

  • Compile and submit daily and monthly job card and Atajo reports

  • Maintain and update purchase order reports

  • Perform weekly filing and ensure accurate document control

  • Monitor and record time and attendance

  • Assist with stock takes when required

  • Ensure all paperwork is accurate, complete, and up to date

  • Maintain a clean and organised workspace in line with housekeeping standards

  • Comply with all health and safety regulations at all times

  • Perform additional administrative duties as required

Minimum Requirements

  • Grade 12 (Matric)

  • Minimum of 1 year’s experience in a Service Advisor or similar role

  • Experience within the Retail Motor industry will be advantageous

Skills Required

  • High level of administrative accuracy

  • Strong time management and prioritisation skills

  • Customer-focused approach

  • Proficiency in Microsoft Office Suite

  • Problem-solving and analytical thinking ability

  • Strong organisational and planning skills

  • Flexibility and adaptability

  • Excellent verbal and written communication skills
