Purpose of the Job
The Parts Administrator is responsible for managing inventory, ensuring timely picking and issuing of parts, tracking stock levels, and maintaining accurate records. This role includes updating backorders, liaising with suppliers, conducting stock counts, identifying slow-moving or obsolete items, and ensuring the workshop has all necessary parts for scheduled maintenance. The Parts Administrator must maintain a clean and safe work area while working independently and efficiently.
Key Responsibilities
Operational
- Pick and issue parts according to job cards.
- Update backorder reports and submit to the Parts Manager.
- Record and report daily stock-outs to ensure timely replenishment.
- Ensure pre-booked parts are picked and purchased before scheduled maintenance.
- Raise purchase orders for non-stock items or buy-outs as indicated on job cards.
- Follow up with suppliers regarding deliveries and collections.
- Ensure parts are issued to the workshop without delay upon receipt of stock.
- Conduct accurate stock counts during cycle counts and stock takes.
- Track movement of parts and monitor all stock transfers.
- Identify slow-moving or obsolete stock and notify the Parts Manager.
- Process credit returns and track all related documentation.
- Perform other tasks and duties within the Parts Department as required.
Housekeeping
- Maintain a clean and organised work area.
- Follow company housekeeping procedures to ensure a tidy environment.
Health and Safety
- Adhere to all Health and Safety procedures and requirements at all times.
General
- Demonstrate strong interpersonal skills and work effectively with colleagues and customers.
- Work independently, using initiative to complete tasks efficiently.
Minimum Requirements
- Grade 12 (Matric)
- 2–5 years’ experience in parts administration
- Computer literate
- Good written and verbal communication skills
- Experience with Embrace system preferred
