Dispatch Supervisor
Purpose of the Job
The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within a warehouse or distribution facility, ensuring efficient stock movement. This role oversees outbound logistics, guarantees timely and accurate dispatch of goods, and ensures compliance with company procedures and safety regulations. The Dispatch Supervisor leads a team of dispatch staff, monitors KPIs, and drives continuous improvement while maintaining the quality, safety, and security of goods and assets.
Key Responsibilities
Process Management
- Ensure all Standard Operating Procedures (SOPs) are understood, regularly reinforced, and adhered to within the dispatch function.
- Utilize business systems to manage, monitor, and optimise dispatch processes.
- Plan daily outbound stock dispatches to meet deadlines efficiently.
- Allocate staff resources according to expected volumes to maintain operational efficiency.
- Oversee and coordinate picking to ensure timely dispatch.
- Confirm availability of materials and equipment required for dispatch activities.
- Maintain stock and packaging integrity, adhering to specific product handling requirements.
- Investigate and resolve discrepancies related to documentation, vehicles, seals, or dispatched goods.
- Liaise with Value to resolve issues within 24 hours.
- Coordinate vehicle arrangements for on-time dispatch.
- Control the handover process of stock to other departments or operations per system requirements.
- Ensure correct loading procedures and secure goods before vehicle departure.
- Maintain and update the Work in Progress (WIP) report daily.
- Keep accurate and up-to-date dispatch documentation.
- Monitor dispatch reports, communicate outcomes to relevant managers, and implement improvements based on insights.
Staff Management
- Lead and supervise the dispatch team, ensuring high performance.
- Plan resources effectively to meet daily operational demands.
- Monitor and minimise overtime, approving only when essential.
- Ensure all dispatch staff receive appropriate and up-to-date training.
Quality, Health & Safety, and KPI Management
- Communicate, track, and manage dispatch KPIs, providing monthly reports.
- Implement continuous improvement initiatives within dispatch operations.
- Address potential issues proactively to prevent escalation.
- Ensure compliance with Quality Management System (QMS) procedures.
- Raise and resolve Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs) within five working days.
- Monitor and maintain QMS objectives and targets.
- Uphold Occupational Health and Safety Act requirements and complete scheduled safety checks.
- Maintain a clean, organized, and safe workplace.
MHE and Asset Management
- Ensure the security of the facility, stock, and assets in line with Loss Control policies.
- Maintain and track assets, ensuring proper use and upkeep.
- Ensure efficient and responsible use of Material Handling Equipment (MHE).
Minimum Requirements
- Grade 12 (Matric)
- Diploma or Degree in Logistics, Warehouse, or Business Management advantageous
- Minimum 5 years’ experience in logistics/warehouse operations, with at least 2 years in a supervisory or management role
