This role is designed to provide strategic administrative support, ensuring seamless operations and empowering our team to drive meaningful impact.

The Intermediary Administrative Assistant will serve as a vital support pillar to our Senior Broker Consultant, managing policy administration, communication workflows, and compliance tracking. Your meticulous approach and proactive problem-solving will enable our brokerage team to focus on scaling One Spark’s intermediary network effectively.

Role Summary:
This is a dynamic support role for a detail-oriented and resilient professional who thrives in a fast-paced environment. You will be the operational backbone of our intermediary team, ensuring efficiency, accuracy, and compliance. Your contributions will enhance partner experiences, streamline processes, and provide the Broker Consultant with the insights needed for strategic decision-making.

Key Responsibilities:

Policy Administration & Data Management

  • Maintain precise digital records of policy documentation and intermediary communications
  • Track and resolve outstanding requirements through cross-departmental coordination
  • Support the full administrative lifecycle of intermediary onboarding and growth

Communication & Relationship Management

  • Serve as the primary liaison between intermediaries and internal teams (Operations, Finance, Compliance)
  • Address inbound queries related to policies, commissions, and onboarding
  • Maintain clear, structured communication channels and provide updates to the Broker Consultant

Operational & Compliance Support

  • Identify and escalate process bottlenecks, system issues, or policy delays
  • Ensure all administrative tasks adhere to regulatory and internal standards
  • Conduct quality audits to uphold data integrity and contribute to process improvements

Business Growth & Administrative Leadership

  • Support the expansion of our intermediary panel by refining admin workflows
  • Contribute to SOP documentation and team training initiatives
  • Assist in onboarding new partners and coordinating enablement efforts with marketing and operations

Technical Skills:

  • Proficiency in Microsoft Excel and CRM tools
  • Familiarity with insurance administration systems
  • Strong data entry and database management capabilities
  • Basic understanding of compliance, POPIA, and FAIS regulations

Soft Skills:

  • Exceptional attention to detail and accuracy
  • Strong written and verbal communication skills
  • Proactive problem-solving and initiative
  • Ability to manage multiple priorities under pressure
  • Discretion and trustworthiness
  • Growth-oriented mindset

Experience:

  • 3+ years of administrative experience in insurance, financial services, or related fields
  • Proven ability to support senior professionals or consultants
  • Prior interaction with brokers, intermediaries, or IFAs (preferred)
  • Background in a major South African insurer (advantageous)

Qualifications:

  • Matric (required)
  • NQF Level 5 in Insurance, Financial Services, or Office Administration (advantageous)
  • RE5 certification or willingness to obtain it within the first year (preferred)
  • FAIS compliance or commitment to achieving compliance
