Purpose of the Job

The Administrator will be responsible for providing comprehensive administrative support to various teams, ensuring the efficient handling of month-end billing, reporting, procurement, fleet management, and general operational administration within the division.

Key Responsibilities 

Month-End Billing and Reporting Support

  • Assist various DD Sites with month-end billing processes and reports
  • Assist with Audit preparation per site, monthly
  • Consolidate absenteeism reports for sites
  • IOD/Staff movement report consolidation for sites
  • Consolidate stationery and PPE schedules for processing on embrace

Administrative Support to DD Division

  • Manage and raise general adhoc orders on Embrace
  • Manage and raise PPE/stationery orders for 140 DD sites nationally on Embrace
  • Oversee procurement and distribution of PPE across 140 DD sites nationally
  • Consolidate and compile divisional reports-General
  • Assist in the consolidation of overtime, attendance, and leave reports for the division
  • Maintain and update the asset register bi-annually
  • Typing minutes/action items and ensure accurate record-keeping
  • Assist in ensuring document shredding is completed as per the POPIA schedule for division
  • Manage and coordinate internal and external meetings, including scheduling and logistics

Fleet Administration Support to DD Division

  • Assist in generating fleet reports, including transgressions, tyre surveys, and PDP expiry dates
  • Provide general fleet feedback, including support for the Red Rim Project and Ctrack rollout
  • Manage and track spare wheels and maintain spare keys inventory

Minimum Requirements

  • Grade 12 (Matric)
Skills Required
  • Strong organisational and multitasking skills
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Ability to compile and analyse reports efficiently
  • Excellent verbal and written communication skills
  • Detail-oriented with high levels of accuracy
  • Ability to prioritise and work under pressure to meet deadlines
  • Strong problem-solving and decision-making abilities
