Job Description:

We are seeking a skilled Technical Coordinator to join our team in Pretoria Central. The successful candidate will play a pivotal role in ensuring the smooth and efficient completion of all administrative duties related to the technical department.

Overall Purpose of the Job:
The primary responsibility is to ensure that all administrative tasks related to the technical team are handled effectively, facilitating the smooth operation of service and installation processes.

Minimum Qualifications and Experience:

  • Grade 12 or equivalent
  • Excellent verbal and written communication skills
  • Minimum of 2 years of experience in an administrative role
  • Computer literate, with proficiency in MS Office
  • Experience with Listener software is advantageous

Key Responsibilities:

  • Collect quotes for the allocated area and verify their entry on Listener.
  • Assign quotes to technicians and prioritize tasks to optimize travel time and efficiency.
  • Schedule jobs based on technician capacity and geographic location (including both servicing and installations).
  • Contact clients to schedule appointments and confirm times, including telephone technical bookings and control room bookings.
  • Assist the sales team with booking technicians for installations and servicing.
  • Manage aged jobs, voiding them as necessary, and provide pipeline figures for installations.
  • Support the Johannesburg office by sending job cards, BNS, and insurance reports.
  • Ensure that all documentation received from OTC is promptly handed to the Technical Manager for technician allocation.
  • Monitor and follow up on the Top 20, Low Battery, and Overactive lists, resolving issues promptly.
  • Provide technical assistance to clients and assist technicians with the loading of radios and conducting tests.
  • Help with the scheduling of jobs and ensure all jobs are followed up for same-day scheduling.
  • Assist with the efficient operation of the department, including covering for absent team members.
  • Manage stock control, order supplies, and assist with stock takes as needed.
  • Oversee distribution of service and installation stock to technicians.
  • Provide support in technical invoicing and general warehouse duties.
