Site Supervisor
Purpose of the Job
The Site Supervisor is responsible for coordinating and supervising all operational activities to ensure efficient and seamless delivery services. This role manages driver attendance and documentation, oversees vehicle route planning and dispatch, ensures fleet readiness and safety, and enforces compliance with operational procedures.
Key Responsibilities
Operational Management
- Supervise and monitor driver attendance and absenteeism, maintaining optimal staffing levels on site.
- Coordinate all driver-related requirements with the Labour Broker and Regional Manager.
- Ensure accurate recording of drivers’ hours for weekly wage reporting.
- Oversee fuel processes, including refueling, fuel consumption tracking, EDC/Nedfleet card usage, and reconciliation.
- Maintain the overall condition of the fleet according to SEC Manual standards.
- Manage daily route planning, vehicle loading/offloading, handover of customer documentation, and driver dispatch.
- Ensure compliance with procedures for accident claims, product claims, and vehicle breakdowns.
- Communicate operational and distribution updates effectively with the Account Manager.
- Cross-check drivers’ trip sheets with vehicle tracking reports.
- Supervise pre- and post-trip inspections, logbooks, workshop bookings, and Certificate of Fitness (COF) checks.
- Manage ad hoc vehicle requirements as needed.
- Verify that all driver documentation is valid, including PDPs, licenses, medical certificates, and relevant certifications (e.g., crane, Moffett, Hazchem).
- Monitor and control the use of PPE and uniforms for on-site staff.
- Ensure functional vehicle tracking systems and arrange repairs for faulty units.
- Maintain high standards of housekeeping for a clean and safe working environment.
- Conduct monthly panic button tests and tyre surveys for all vehicles.
- Ensure all deliveries comply with front-end planning requirements.
- Verify load security and adherence to safety standards prior to dispatch.
- Ensure secure storage of all vehicle keys at the end of each day.
Administrative Duties
- Compile and submit all operational reports promptly, including Vehicle Utilisation, Absenteeism, Vehicles in Workshop, Fleet Checklist, Weekly Site, Fuel Consumption, Vehicle Tracking, Daily Statistics, Fleet Control, and Management Reports (including STOs, average loading times, and out-of-area deliveries).
- Supervise the completion, handover, and sign-off of all customer-related documentation to ensure accuracy and compliance.
Customer Service & Relationship Management
- Build and maintain strong customer relationships by consistently meeting service level agreements.
- Monitor customer KPIs and service levels to ensure targets are achieved.
- Prepare and present operational feedback, KPIs, and reports, highlighting constraints or challenges proactively.
Minimum Requirements
- Grade 12 (Matric)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
