About the Role:
Pick n Pay is seeking a professional and polished Secretary to provide executive assistance to the Managing Executive of Clothing. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with the utmost confidentiality. The ideal candidate will be proactive, efficient, and capable of managing a diverse range of tasks in a fast-paced environment.
Key Responsibilities:
- Executive Assistance:
- Manage the Workday system, including leave for the GM and HODs, KPIs, and IPAs.
- Maintain the executive’s diary, including leave for GM and HODs.
- Take minutes at meetings and execute presentations.
- Oversee diary management, email correspondence, and draft documents and emails.
- Ensure that meetings are scheduled only with GMS consent.
- Support for HOD Leadership Team:
- Write and share meeting minutes, send invites and reminders, and prepare necessary documents.
- Create presentations and assist HODs with presentation preparation.
- Manage diaries for the HOD of Retail and oversee stakeholder events, including invites, presentations, food, and planning.
- Remind HODs and teams of important business tasks and deadlines.
- Keep merchandising, buying, and marketing calendars up to date.
- Create reports as requested by the Head of Ops.
- Build relationships with HODs to support their roles.
- Travel Management:
- Arrange and book domestic and international travel for various teams, including flights, transportation, and accommodation.
- Manage daily allowances, sample budgets, and assist with visa processes.
- Ensure accurate and timely travel arrangements.
- Clothing People Initiatives:
- Assist HODs with ordering computer hardware for new starters and liaise with the IS department for software needs.
- Manage office supplies, equipment, and facilities.
- Organize and execute milestone celebrations, including birthdays and other significant events.
- Coordinate communication sessions, farewells, and retirements.
- Boardroom Management:
- Coordinate and manage boardroom meetings, including technology setup and event organization.
- Handle boardroom bookings.
- Customer Care:
- Work with Group Customer Care to address customer responses within 24 hours.
- Redirect queries to the appropriate HODs and resolve issues via phone.
- Forward compliments to operations and act as a general point of contact for customer care.
Minimum Requirements:
- Experience: Minimum of 5 years as an executive assistant or in a similar role supporting senior executives.
- Qualifications: Grade 12 (NQF Level 4) or equivalent.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Advanced PowerPoint skills required for presentation creation.
- Attributes: Strong organizational and time-management skills, exceptional communication abilities, and a high level of professionalism. Ability to multitask, prioritize, and work under pressure.
Additional Requirements:
- Willingness to work irregular hours, including evenings and weekends, and to be flexible with store transfers.
- Ability to undertake physical tasks as needed.
- Must pass assessments and competency-based interviews.
- Must have a valid South African ID (attach copy to application).
