Parts Administrator – Value Logistics
Purpose of the Job
The Parts Administrator is responsible for managing workshop inventory, ensuring timely picking and issuing of parts, tracking stock levels, and maintaining accurate records. This role includes updating backorders, liaising with suppliers, conducting stock counts, identifying slow-moving or obsolete items, and ensuring the workshop has the required parts for scheduled maintenance. The Parts Administrator must work independently, maintain a clean and organised workspace, and comply with health and safety procedures.
Key Responsibilities
Operational
- Pick and issue parts according to job cards and workshop requirements
- Update backorder reports and submit them to the Parts Manager
- Record and report stock-outs and ensure timely replenishment
- Ensure pre-booked parts are picked and purchased before scheduled vehicle maintenance
- Raise purchase orders for non-stock or special order items as indicated on job cards
- Follow up with suppliers on deliveries and collections to avoid delays
- Issue parts promptly upon receipt of stock to support workshop operations
- Conduct accurate stock counts during cycle counts and stock takes
- Track parts movement and complete stock transfers accurately
- Identify slow-moving or obsolete stock and report to the Parts Manager for action
- Process and track all credit returns efficiently
- Assist with other departmental tasks as required
Housekeeping
- Maintain a clean, organised, and safe work area
- Follow Value Logistics housekeeping procedures consistently
Health and Safety
- Adhere to all company health and safety standards and procedures at all times
General
- Demonstrate strong interpersonal skills and the ability to interact effectively with customers and colleagues
- Work independently and proactively to complete tasks efficiently
Minimum Requirements
- Grade 12 (Matric)
- 2–5 years of experience in parts administration or inventory management
- Computer literate with proficiency in standard office applications
- Strong written and verbal communication skills
