Job Description
• Provide day-to-day office and administrative support to the Flight Operations team and Chief Pilot.
• Manage incoming calls, emails, and correspondence to ensure smooth and professional communication.
• Arrange, coordinate, and schedule meetings and appointments, including all logistics and room bookings.
• Prepare and distribute meeting agendas ahead of time.
• Record accurate and detailed meeting minutes and circulate them timeously, following up on action items.
• Maintain organised filing systems to ensure documents are audit-ready and compliant with regulatory requirements.
• Serve as the primary point of contact for Flight Deck crew queries, escalating matters when required.
• Liaise with Rostering and Training to coordinate roster requirements and operational changes.
• Work closely with HR on crew-related reports and onboarding of new Flight Deck crew.
• Administer updates for new crew starts and maintain accurate crew documentation.
• Support crew with iPad-related queries, including troubleshooting, updates, and device distribution.
• Assist with the preparation, compilation, and formatting of regular and ad hoc reports, including seniority lists and leave reports.
• Ensure Flight Operations documents are updated and distributed to relevant stakeholders.
• Maintain operational records, manuals, and reports in line with company and regulatory standards.
• Track deadlines and ensure system updates and reporting obligations are completed on time.
• Provide administrative and operational support to the Chief Training Captain, Fleet Captain, EBT Manager, Cadet Manager, and Office Pilots.
Job Requirements
• Grade 12 or equivalent.
• Relevant tertiary qualification will be advantageous.
• 1–3 years’ experience in office administration.
• Proven administration experience.
• Aviation or operations exposure will be advantageous.
• Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
• Strong administrative and organisational skills with exceptional attention to detail.
• Excellent interpersonal skills with confidence in engaging internal and external stakeholders.
• Strong written and verbal communication skills.
• Task-oriented with the ability to manage multiple priorities.
• Ability to learn quickly and adapt in a dynamic operational environment.
