Purpose of Role:
The Financial Planner Partner Assistant supports Financial Planning Partners in delivering exceptional client services. As part of a collaborative regional team, this role ensures smooth administrative, operational, and client service functions while acting as the primary liaison between the practice, regional office, and head office.
Key Responsibilities:
Client Services
- Implement the defined client service experience.
- Manage administrative processes, controls, and client transactions.
- Serve as the liaison between Financial Planning Partners and product providers.
- Handle client inquiries efficiently and follow the complaint resolution process.
- Ensure compliance with Treating Customer Fairly (TCF) principles.
Operations
- Collect and prepare client documentation for Financial Planning Partner engagement.
- Conduct FICA and AML verification during onboarding.
- Verify transaction documents for accuracy and compliance.
- Administer client transfers and new business applications.
- Submit and track intermediary appointments and commission reconciliations.
- Monitor underwriting processes and follow up on medical requirements.
- Provide ongoing client servicing and maintenance support.
- Escalate commission or fee-related issues with product providers.
Operational Support for Portfolio Managers and CRMs
- Coordinate with CRMs to pre-populate mandates and applications.
- Manage PM and CRM instructions via XPlan tasks.
IT & Systems
- Maintain accurate client portfolios using Astute and XPlan.
- Capture and update client data in XPlan and other financial systems.
- Ensure proper document storage and compliance with record-keeping policies.
- Prepare client review materials, including Consolidated Reports (CCR).
- Manage calendar integration (XPlan & Outlook) and resolve IT support requests.
NAV & KPIs
- Utilize NAV to support Financial Planning Partners effectively.
- Track personal KPIs and seek guidance when needed.
Marketing Support
- Assist in organizing and managing client events.
- Act as a primary contact to strengthen client relationships.
Office Management
- Oversee office logistics, including reception, supplies, and meeting coordination.
- Place timely orders for stationery, marketing materials, and other essentials.
Knowledge & Competencies:
- Industry Knowledge: Financial Services, FAIS, and FICA regulations.
- Technical Skills: Microsoft Office, XPlan, SharePoint.
- Soft Skills: Strong communication, organizational ability, attention to detail.
- Work Ethic: Proactive, resilient, adaptable, and client-focused.
Qualifications & Experience:
- 2-3 years in financial services.
- Relevant tertiary education or certification preferred.
